Information you provide
When you contact Career Coach, you may provide your name, email address, selected service and a message. If you engage a service, you may also provide career history, a resume, job advertisements and other documents needed to complete the agreed work. Please avoid sending sensitive information or confidential employer material unless necessary and agreed.
How information is used
Information is used to respond to enquiries, prepare quotes, deliver agreed services, maintain customer records and provide request tracking and secure document exchange. We do not sell customer enquiry details to advertisers. A customer may optionally provide their date of birth and separately opt in to birthday greetings. Birthday details are not required to purchase or receive any career service; greetings are not currently sent automatically.
Service request intake and document exchange
After confirmed payment, customers can use a private request access link to complete a package-specific questionnaire, provide their city and job role, exchange messages and upload PDF, DOCX, TXT or image documents relevant to their service. Uploaded documents are stored in private application storage and linked to their service request. Customer and team document uploads are screened through a contracted antivirus service where configured. Files remain inaccessible in quarantine until a scan returns a clean verdict; unsafe files are blocked, and security event logs record file references, outcomes and timestamps without storing file content in the audit log. Screening may involve sending an uploaded document to the antivirus provider. An unavailable scanner does not automatically approve files. Please do not submit bank details, card numbers, passwords, identity documents, sensitive personal information or unrelated confidential employer material. The request link is a bearer credential: anyone given the link may gain access to that request, so keep it private.
Retention and disposal
For completed service requests, our default active-system disposal review period is 90 days after completion unless lawful retention, an authorised hold or other applicable requirements justify longer retention. A scheduled job is configured to remove eligible service files, questionnaire answers, request messages and working notes from active systems. Payment and minimum customer records are stored separately as required for legitimate purposes. Backup copies and third-party systems can have different deletion schedules, and we do not claim instant erasure from those systems. Access to a ticket and its deletion schedule are separately controlled.
Website systems and service providers
The website is hosted using Floot infrastructure. Website enquiries are saved to a restricted operations dashboard. Supporting providers, including hosting, payment, email and AI processing services, may process information to operate the website, fulfil purchases or generate reports. Some processing may occur outside Australia. Contact us for information about the service providers relevant to your request.
Free Resume Health Check and optional AI review
The standard free Resume Health Check extracts and evaluates resume text in your browser. The file and text are not uploaded to Career Coach for the standard assessment. If you opt into AI-assisted review, the extracted resume text and optional target role are transmitted securely to our server and then to OpenAI for a one-time analysis; the full resume text is not stored in the free-check database. Processing by OpenAI may occur outside Australia and is subject to the service provider’s terms. Limited hashed technical identifiers and request counts are recorded to prevent abuse and manage AI costs. The site may send a one-way document fingerprint to check whether a CV was issued by Career Coach. You can use the standard check without consenting to AI processing.
AI Career Studio: inputs, reports and purchases
When you purchase an AI Career Studio tool, we process your purchase email and payment status through our payments provider. Payment card details are not collected by Career Coach. If you generate a report, your submitted career details and AI output are stored with the purchase record so your report can be retrieved using a private guest access credential kept in your browser. Some submitted content is sent to OpenAI for report generation. Please remove sensitive identifiers and confidential employer content before submission. Lost guest browser access may require support and verification; do not share access tokens.
Security and access
We restrict administrative access and use technical safeguards, but no internet-based service can guarantee absolute security. Contact us promptly if you suspect a privacy issue.
Access, correction and deletion
To request access to or correction or deletion of information we hold, email info@careercoach.au. We will assess requests subject to applicable law, operational requirements and any lawful retention obligations.
Analytics and cookies
Essential website features use limited browser storage. With your explicit permission, our first-party traffic statistics record an anonymous session identifier, public page path, broad device category, external referral domain or campaign source and visit time. We do not collect resume contents, assessment responses or names in traffic analytics; we do not set advertising cookies or use third-party traffic trackers. These events are retained for up to 90 days. The traffic dashboard is restricted to administrators. You can reject optional analytics without losing access to any service, and you can change your preference using the analytics control below. Do Not Track and Global Privacy Control signals are respected.
